Rolling Changeover is an optional mechanism offered to tenants who wish to vacate their bed before completing the required notice period.
Its purpose is to minimize or potentially eliminate the notice-period shortfall penalty by allowing Uttam Stay PG to release the bed for a new tenant while the existing tenant is still within their notice-period obligation.
The adjustment is linked to the actual successful occupancy of the bed by a new tenant.
Eligibility for Rolling Changeover
To be eligible for the Rolling Changeover benefit, the tenant must vacate with all dues fully cleared. Any outstanding rent, electricity, penalty, damage charges, or other payable amount at the time of exit will automatically disqualify the tenant from this policy.
How Rolling Changeover Works
If a tenant informs Uttam Stay PG that they want to leave before completing their required notice period, the tenant may request a Rolling Changeover.
Once the tenant confirms this option:
Uttam Stay PG may immediately release the bed for new enquiries.
The existing tenant may vacate the bed as mutually agreed.
Uttam Stay PG will try to find a suitable replacement tenant.
If a new tenant successfully occupies the same bed before the original notice period expires, the corresponding unserved notice-period days may be adjusted against the applicable shortfall penalty.
The adjustment is calculated based on the actual joining/occupancy date of the replacement tenant.
No adjustment is applicable merely because an enquiry, lead, booking discussion or advance payment is received. Actual occupancy/joining is required.
Inter-shifting of an existing tenant from one room/bed to another room/bed within Uttam Stay PG will not be considered as a new tenant joining for the purpose of Rolling Changeover. However, the bed vacated by the inter-shifting tenant may be considered as a new joining/replacement occupancy, provided that the vacated bed is successfully occupied as part of the approved Rolling Changeover process.
3 Days or Equivalent Notice days penalty will be leived mandatory in the case of shortfall is morethan 3 days, even if we found a replacement. In the case of less than 3 days shortfall replacement you will be charged at actual days basis.
If another bed in the same room was already vacant when the tenant left, occupancy of the newly vacated bed will not be considered a replacement if the new tenant chooses that bed due to its location/preference, while the previously vacant bed remains unoccupied.
Examples
Example 1 — Early Replacement
Existing tenant informs on: 28 September
Requested leaving date: 10 October
Notice period available: 12 days
Notice-period shortfall: 18 days
Therefore, normally, the applicable notice shortfall would be 18 days.
However, the tenant chooses Rolling Changeover and authorizes Uttam Stay PG to release the bed for new enquiries.
If a new tenant joins from 5 October:
The replacement tenant occupies the same bed from 5 October.
The old tenant therefore needs to vacate earlier so that the bed can be handed over to the new tenant.
Since the bed has been successfully reoccupied before the original requested leaving date, the applicable notice shortfall penalty can be eliminated, subject to the final account calculation.
Result:
Original shortfall: 18 days
Replacement occupancy: 5 October
Effective notice-shortfall penalty: 0 days
Example 2 — Pro-Rata Penalty Adjustment
Existing tenant informs on: 1 October
Requested leaving date: 5 October
Notice-period shortfall: 25 days
Tenant vacates on: 5 October
New tenant joins on: 10 October
The new tenant joins 5 days after the existing tenant vacates.
Therefore, 5 days of the notice-period shortfall are recovered through the replacement tenant.
As per the Rolling Changeover policy, a mandatory 3-day notice-period penalty is additionally applicable when the original shortfall is more than 3 days.
Calculation
Original notice-period shortfall: 25 days
Less: Replacement occupancy adjustment: 5 days
Add: Mandatory 3-day penalty: 3 days
Effective penalty: 5+3 days
Therefore:
Original shortfall: 25 days
Total adjustment/benefit: 17 days
Effective penalty: 8 days
So, the amount equivalent to 17 days may be refunded/adjusted in the final settlement, subject to all other applicable deductions.
Simple formula:
Effective Penalty = Original Shortfall − Replacement Recovery + Mandatory 3-Day Penalty
Important Terms & Conditions
1. Rolling Changeover is Optional
Rolling Changeover is an optional facility and is not a replacement for the standard notice-period policy.
Uttam Stay PG reserves the right to accept or decline a Rolling Changeover request depending on operational requirements.
2. Bed Release Authorization
By opting for Rolling Changeover, the existing tenant authorizes Uttam Stay PG to:
release the bed for new enquiries;
advertise/offer the bed to prospective tenants;
schedule visits or inspections;
accept a new tenant for the bed; and
allot the bed to a replacement tenant as required.
3. No Guarantee of Replacement
Rolling Changeover does not guarantee that a replacement tenant will be found.
The adjustment is dependent entirely on the successful occupancy of the bed by a new tenant.
If no replacement tenant is found, the original notice-period shortfall remains applicable.
4. Actual Occupancy Is the Trigger
An enquiry, verbal confirmation, booking, token amount or advance payment from a prospective tenant does not by itself qualify for adjustment.
The adjustment will be considered only when the replacement tenant actually joins and occupies the bed.
5. Pro-Rata Adjustment
The adjustment, where applicable, will be calculated based on the actual number of days for which the bed is successfully reoccupied during the relevant notice-shortfall period.
The maximum adjustment cannot exceed the original notice-period shortfall.
6. No Double Benefit
The tenant cannot claim an adjustment for the same period through multiple means.
The final adjustment will be calculated by Uttam Stay PG based on its actual occupancy and account records.
7. Early Joining by Replacement Tenant
If a replacement tenant is ready to occupy the bed before the existing tenant's proposed leaving date, the existing tenant may be required to vacate earlier to facilitate the new occupancy.
The corresponding notice-period penalty may then be reduced or eliminated based on the actual replacement occupancy.
8. Final Calculation
The final refundable/adjustable amount will be calculated only after confirmation of the replacement tenant's actual joining date and completion of the relevant account settlement.
Uttam Stay PG's occupancy and payment records will be considered for the calculation.
9. Electricity & Other Charges
Electricity bills, AC charges, food charges, maintenance charges, damage charges, housekeeping-related charges and any other applicable deductions remain separate from the Rolling Changeover adjustment.
Rolling Changeover only relates to the notice-period shortfall penalty.
All other applicable charges will continue to be calculated and deducted as per the applicable PG policy.
10. Deposit Settlement
Any eligible Rolling Changeover adjustment will be incorporated into the tenant's final settlement/deposit calculation.
It does not automatically mean that the entire deposit becomes refundable.
Other applicable deductions will continue to apply.
11. No Interest or Additional Compensation
Any adjustment under Rolling Changeover is limited to the applicable notice-period shortfall.
No interest, compensation, damages or additional payment will be payable for any delay in finding a replacement tenant or completing the final settlement.
12. Management's Decision
Uttam Stay PG will make the final calculation based on:
tenant's notice date;
agreed/vacated date;
original notice-period requirement;
replacement tenant's actual joining date; and
applicable account records.
The calculation made by Uttam Stay PG shall be treated as the basis for the final settlement.
In Simple Words
You leave early → we release your bed → we try to find a replacement → if the bed gets occupied during your notice-shortfall period, your penalty can reduce accordingly.
The sooner the bed is successfully reoccupied, the greater the potential reduction in the notice-period shortfall.
Rolling Changeover is therefore an opportunity to reduce your penalty — not a guaranteed waiver of the notice-period requirement.
